Printer Keeps Going Offline? The Permanent Fix
If your printer goes offline every day and you are tired of fixing it, here is the one-time setup that prevents it forever.
Why Your Printer Goes Offline Repeatedly
The number one cause of a printer that repeatedly goes offline is a changing IP address. Every time your router restarts or your printer reconnects to WiFi, the router may assign a different IP address. But Windows still has the old IP saved in the printer driver settings. The result: Windows tries to talk to an IP address that no longer belongs to your printer, and shows it as offline.
The Permanent Fix: Assign a Static IP
This is the one-time fix that stops the problem forever. Print a network configuration page from your printer (usually in Settings, Network, Print Config Page). Note the current IP address, subnet mask, and default gateway. Now log into your router admin panel. Find the DHCP reservation or static lease section. Add a new reservation using your printer MAC address and the IP you want to assign permanently. Save the settings. On the printer, go to Network Settings, TCP/IP, and switch from Automatic/DHCP to Manual/Static. Enter the same IP address, subnet mask, and gateway. Now your printer always has the same address and Windows always knows where to find it.
Also Fix the Windows Side
After setting the static IP, update Windows to use the new fixed address. Open Settings, Printers and Scanners, remove the printer. Then add it back. When adding, if the printer is not found automatically, click The Printer I Want Is Not Listed, then Add a Printer Using TCP/IP Address, and enter the static IP you just configured. Also go to Settings, Printers and Scanners, scroll down and turn OFF Let Windows Manage My Default Printer. This prevents Windows from randomly switching your default printer.
Prevent Sleep Mode Disconnects
Some printers go into deep sleep mode and disconnect from WiFi to save power. In the printer settings, look for Sleep Mode, Auto Off, or Energy Saving and either disable it or extend the timer to several hours. On HP printers, turn off Auto-Off in the HP Smart app. On Epson printers, adjust the sleep timer in the Setup menu. This keeps the printer awake and connected.
